This data protection and privacy policy has been produced by IPowerE to regulate the manner in which IPowerE collects, uses and stores personal data and information submitted to it.
As a company limited by guarantee and registered in England, IPowerE is obliged to comply with European and UK data protection legislation in all its dealings with your personal information and data. Our data collection is in accordance with the General Data Protection Regulation (GDPR), Data Protection Act 2018 and Privacy and Electronic Communication Regulation (PECR) and IPowerE is committed to protecting the privacy of those who use our website and the confidentiality of any personal information or details submitted or provided to us by you.
What information do we collect?
We collect information about you to manage your membership and correspond with you regarding works carried out for you including keeping you updated with our service offering. We rely on performance of a membership contract with you and legitimate interests as the lawful basis on which we collect and use your personal data.
We will not share your information with any other third party unless specified.
We will hold your name, address and contact details for the period we are required to retain this information by applicable UK tax law (currently 6 years).
When do we collect it?
When you communicate with us by email, telephone, post, website or meet us in person e.g. at an event. When you apply to be a member of IPowerE.
When you apply for professional registration through us, or to transfer a registration to us from another PEI.
When you register, attend, or otherwise take part in one of our events.
When you agree to be featured in an article, press release or other published editorial piece of work. This could be written, photographic or both.
How do we use it?
Fulfilling the Membership Contract: As a member of IPowerE you have entered into a contract with us to deliver benefits and services, which form part of the membership package. To do this we need to process your information and communicate with you. We’ll always act upon your choice of how you’d like to receive these communications (for example by email, post, or phone where appropriate) but these essential communications are required to fulfil our promise to you as a member e.g. renewal reminders, invoicing, and notices of IPowerE meetings and Annual General Meeting.
Our legitimate interests
The General Data Protection Regulation allows for direct marketing to be a legitimate interest in so long as we have balanced our interests against your new rights and freedoms under the regulation and what you’d reasonably expect based on our relationship with you e.g. promotion of events we believe will be of interest to you and occasional newsletters.
You may choose not to receive these by contacting the office at any time.
Who do we share it with?
These are organisations where we securely pass your data to fulfil either contractual obligations to you regarding one or more of our products or services, where we have an appropriate basis, or where we are passed such data to do so.
Data is only shared where there is a need to do so to meet our obligations.
Currently this is:
- Society of Operations Engineers – if you apply for Professional Registration (they process our applications through their licence with Engineering Council)
- Engineering Council – if you apply for Professional Registration
Control
Your rights: Under the General Data Protection Regulation, you have a number of important rights free of charge. These are “the right to” fair processing of information and transparency over how we use personal information.
Access to your personal information: You can do this by sending a written request to us either by email or post, using the details at the start of this notice. The data request will be free of charge – unless it is repetitive, excessive or manifestly unfounded, in which case we will charge a reasonable fee of £50. We will aim to get you the information within one working week, however this may take up to one month at busier times of the year for us.
Require us to correct any mistakes in your information which we hold if any data we hold about you is incorrect, we will update it as soon as you inform us, unless we require verification of that information (for example a change of Engineering Council status).
Require the erasure of personal information concerning you in certain situations.
We will inform you of the outcome of this request and any associated erasure within one month. Otherwise restrict our processing of your personal information in certain circumstances.

IPowerE endeavours to protect your personal data from unauthorised disclosure and/or access including through the use of network and database security measures, but it cannot guarantee the security of any data it collects and stores.
